Title: Administrative Assistant
Location: Santa Ana, CA
The company is seeking a high-energy, well organized, personable Customer Service Representative to perform a variety of administrative and clerical tasks. Duties include customer service, filing, bookkeeping, and shipping.
- Answer phones, emails, and other inquiries directed to the company. Respond to customers in a professional and timely manner.
- Generate and provide basic product pricing and quotations to customers via phone and email.
- Generate and ship Return Authorizations for customers. Ship and track Return Authorizations daily.
- Set up new customers correctly and manage customer email database
- Collect shipping paperwork form Warehouse
- Work with warehouse to determine status of orders for customers. Manage paperwork between warehouse and front office as needed.
- Post bills to QuickBooks efficiently and correctly.
- Mail Accounts Receivable invoices daily.
- File Accounts Receivable invoices.
- Match Purchase Orders, Packing Slips, Invoices and Checks for processing, payment and filing.
- File Accounts Payable bills in an efficient and organized manner.
- File Sales Orders once completed, invoiced and shipped.
- Call customers and follow up regarding past due invoices.
- Assist with shipping and sales, as needed.
- Open Postal mail daily
- Complete other special projects or tasks as assigned by Management.
