Well hello there,

Kimco is working on a wicked awesome full time temp to hire Executive Admin Assistant for our client, an Architectural firm in Riverside. Our client offers a beautiful Class A office space, solid benefits upon getting hired on and a stable work environment. Pay is $22-$25/hr, DOE.

This is a soup to nuts Executive Admin Assistant - from managing calendars for Executives, to booking travel, booking conferences, ordering lunches....you name it. Full details are below, respond back if interested! Full details are below:

  • Maintains strict confidentiality
  • Manages calendars for executives
  • Keeps executives well informed of upcoming meetings/events on a daily and weekly basis to ensure no calendar conflicts arise
  • Composes and prepares correspondence that sometimes may be confidential
  • Types reports, memos, letters and other documents using relevant computer software
  • Prepare agenda and take minutes of meetings as necessary
  • Will arrange complex travel plans for multiple executives and personnel
  • Will monitor and manage inboxes and emails; marks items that require actions and follows-up and tracks accordingly
  • Works closely and effectively with Principals, Associate Principals, Project Managers, and Executive Assistants to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
  • Provides a bridge for smooth communication between the Principals, Associate Principals, and Project Managers and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff
  • Works independently on projects, from conception to completion, works under pressure at times to handle a wide variety of activities and confidential matters with discretion
  • Drafts and processes proposals, contracts and agreements following Ruhnau Clarke protocol.
  • Creates and updates spreadsheets for various projects as necessary
  • Book Conferences and required follow up to ensure successful event
  • Reads and analyzes incoming memos, submissions and reports to determine significance and plan their distribution
  • Orders lunches for meetings as necessary
  • Serves as back-up receptionist
  • Updates Google Docs as needed
  • Updates the Hub Planner with project schedules
  • Updates One Note as needed
  • Assists with general administrative functions and perform all other duties as assigned
