Job Description

POSITION OVERVIEW

This position is responsible forproviding general administrative support to the entire Engineering Staff as well as specific support to Team Leader on projects including Research, Qualification, Quoting, Revising, Billing and Tracking.

RESPONSIBILITIES

  • Administrative staff member is required to use three different systems (MTC, GCD, and Phoenix) to identify the current status of any particular report.
  • Gets customers’ responses for non-compliance items by calling and sending proper documents and service questions; suggesting information about how to respond.

·Revise reports to the most recent revision (both admin and technical update). Also revise reports for add or removing Multiple Listees and Alternate Constructions/Variations.

·Prepare appropriate finding letters for clients who have not responded to variation notices or standard updates.

·May prepare and track necessary quotes for work to be conducted by Operations Labs or by SVN, including preparation of suspension lists of un-resolved VNs.

·When clients have SVN invoicing disputes, may have to be able to do some research before credit is authorized.

  • May assist with other special tasks such as generating monthly revenue reconciliation documents, compile monthly expense and create spread sheets on excel to central billing for technical/admin revisions.

·Help maintain our monthly budget of approximately $160,000 with few errors and by applying new processes and other duties needed.

Qualifications:

· Minimum 1 year equivalent previous work experience in business administrative work.

·Must be proficient with Microsoft suite of programs. Must have previous work experience utilizing proprietary in-house software systems.

·Ability to be extremely organized with lists and procedures for a variety of different processes in a fast-paced, multi-tasking environment.

·Customer service, customer complaints and phone skills a plus.

·Ability to work OT as the needs of the business dictates.
