Job Description
HR Assistant Opening in Orange County 

Our client a leader in dental manufacturing is looking for a HR Assistant for their location in Irvine, CA to cover a  leave of absence. 

Pay: $21.00-$22.00/hr 

Job Duties Include but not Limited to:
  • Provides administrative support to the HR Team by performing miscellaneous clerical functions such as answering incoming telephone calls, preparing correspondence, arranging meetings and conference calls, and serving as a daily point of contact for employee inquiries
  • Serves as point-of-contact for employees and responds to inquiries regarding various aspects of Human Resources and Employee Services including but not limited to the areas of Employee Relations, Benefits, Worker’s Compensation, and Compensation; escalates complex issues to appropriate HR Team Member as necessary.
  • Serves as point-of-contact and assists applicants with application process including but not limited to submitting an application for employment and following up on application status; reviews submitted applications for completeness.
  • Performs limited applicant screening and administers pre-employment tests as necessary; makes recommendations to Recruiting Team about type of position a candidate may be suitable for.
  • Assists with data entry into the Human Resources Information System (HRIS) as directed by HR Team Members and in compliance with set department protocols and procedures.
  • Administers Transfer Process by coordinating flow of information between Employee, Recruiting Team, Managers, and Compensation Team; reviews employee eligibility for transfer; collects transfer data; tracks progress and completion of approved transfers.
  • Maintains and updates employee personnel files; ensures Kwiktag process of all relevant employee documents is completed in a timely and accurate manner.
  • Conducts New Hire Orientation and ensures all new hire documents are complete and collected from new employees; follows up on any missing or incomplete documents as necessary.
  • Verifies employee work eligibility via e-verify process; manages any discrepancies that arise from verification process with employees; engages Employee Relations Team as necessary.
Minimum Requirements Include: 

Education and Experience:

  • Associate’s Degree in related field of study. Bachelor’s degree preferred.
  • Minimum two (2) years of experience in an HR administrative support role.

Special Requirements/Certification:

  • Bi-lingual proficiency (Vietnamese, Korean, Chinese or Spanish), preferred.
  • First-Aid/CPR Certified, a plus.

Communication Skills:

  • Must possess proficient in English skills, both written and verbal skills.
  • Must possess a professional telephone manner.
  • Possess strong interpersonal and communication (written and verbal) skills to communicate with employees at all levels of the Company.
  • Possess demonstrated listening skills.
  • Ability to convey information in a clear and concise manner.
  • Ability to create and compose written materials with proper English grammar and punctuation.
  • Ability to communicate effectively in a multicultural business environment.
  • Knowledge, Skills, and Abilities:
  • Must be a self-starter with a strong sense of self-development.
  • Proficient knowledge of general office procedures.
  • Ability to keyboard 30 – 35 wpm accurately.
  • Ability to make administrative/procedural decisions and judgments.
  • Ability to effectively prioritize and complete multiple tasks and duties.
  • Ability to organize, plan, and coordinate multiple tasks.
  • Ability to diffuse emotionally charged situations.
  • Ability to learn quickly on the job.
