KTrac completely automates the timecard process for Kimco Associates and clients. It's faster, easier, and more accurate than traditional paper timecards. For first-time-users, please make sure you read the Associate or Client Agreement before logging in.
If you are a client who is not currently using the KTrac system and would like more information, please contact your local Kimco branch office. They'll be happy to answer your questions and help you get started.
KTrac completely eliminates the need for paper timecards, supervisor signatures, and rushing to mail or drop off your timecards at a branch office. All the information you need to send us is completed over the Internet. Your hours are automatically e-mailed to your supervisor at the end of each work week, and timecards are all reviewed and approved online. It's as easy as 1-2-3…
Step 1: Fill out your KTrac Weekly Hours Worksheet.
Keep track of your hours using the special worksheet provided by Kimco. You DO NOT need to get a supervisor's signature on the worksheet.
Step 2: Enter your hours by 10:00 p.m. Sunday.
You can enter your hours each day or wait until the end of the week, but ALL hours must be entered before 10:00 p.m. Sunday to be included in the next scheduled payroll. A missed deadline will result in a delayed paycheck! When entering your information, be ready to provide:
- Your Kimco Branch Number
- Your Job Order Number
- Your Social Security Number
Step 3: Print out your Confirmation Number.
When you submit your information, you'll be given a Confirmation Number for your records. You should print out this number and keep it in a safe place until your paycheck has been received.
- Non-exempt, hourly-paid Kimco Associates will be compensated for overtime hours as follows:
- One and one-half times base pay rate (straight overtime)
- over 8 hours of work in one workday
- over 40 hours of work in one workweek
- the first 8 hours of work on the 7th consecutive day in one work week
- Double the base pay rate (double time)
- over 12 hours of work in one workday
- over 8 hours of work on the 7th consecutive day in one work week
- One and one-half times base pay rate (straight overtime)
Associate Change Notifications
Please notify your Kimco representative immediately if you change departments while on assignment and/or your mailing address changes.
PLEASE READ THE ASSOCIATE AGREEMENT BELOW BEFORE SUBMITTING TIMECARDS ONLINE:
I certify that the hours I'm reporting via the KTrac system are correct. I also certify that I was given one 10-minute paid break for every four hours worked.
I understand that my paycheck will be delayed if my timecard is incomplete.
If I am available for additional work after completion of my current assignment, I understand that I must call my Kimco representative on the first business day after completion of the assignment; otherwise, Kimco may assume that I am not available for work.
I have read the information about Kimco's policies on Sexual Harassment, Safety, and Drugs and Alcohol provided by my Kimco branch representative and I agree to abide by them. I agree to contact my Kimco branch representative immediately if I am injured on the job or if I experience sexual harassment.

- Associates enter hours worked each week via the telephone or Internet.
- KTrac tallies the hours and provides the Associate with a confirmation number for their records. No need to check employees' math — it's 100% accurate!
- Early Monday morning, authorized approvers at your company receive an e-mail with password and link to the online approval page.
- Supervisors approve or reject, and may add comments to, all timecards. When done, just click "Submit," and a Confirmation Page is generated, which should be printed or saved to your hard drive for your records. Your Kimco branch office will be notified of any rejected timecards and will automatically contact you to discuss and resolve.
- All information is sent to Kimco's payroll department for processing with the next scheduled payroll.
Deadline for online approval is 2:00 p.m. Monday (2:00 p.m. Tuesday if Monday is a holiday).
In the event that you have not responded by the cutoff time, KTrac will automatically notify Kimco, and a representative will call your office to follow up.
KTrac Security Feature
Authorized approvers are assigned a unique password each week. Job order numbers are cross-referenced against Kimco's database to ensure accuracy. Managers can designate alternate approvers to cover during vacations or other absences. Kimco and KTrac databases are backed up daily.

KTrac Client Agreement
Customer understands and accepts responsibility for supervision of Kimco Staffing Services, Inc. (Kimco) employees' work on Customer's premises. Customer agrees to train in safety procedures as necessary for performance of the assignment, including disclosure of exposures to hazardous substances and related safety requirements. Customer assures use of necessary safety equipment by Kimco employees. Customer hereby agrees to defend, indemnify and hold Kimco harmless from any and all fines, penalties, and assessments, including attorney's fees incurred by Kimco as a result of any violations or alleged violations of any federal, state, or local law, regulation, or ordinance relating to health and safety with respect to any premises owned or in the care, custody, or control of customer, and to which Kimco employees are assigned.
Kimco employees may not operate or drive any motorized vehicle, travel on behalf of the customer, operate any machinery (except office machinery), perform any work on ladders or scaffolding that is over six feet high, or work with any hazardous chemicals without prior written consent from Kimco. Customer represents that their work site complies with OSHA and other applicable rules and regulations. Customer also agrees not to assign Kimco employees to perform any work other than that described at the time Customer placed the job order without prior written approval from Kimco.
Employees of Kimco Financial Solutions cannot render a professional opinion on any financial statement on behalf of Kimco. Kimco financial employees cannot sign their names or the Kimco name to any financial statement or any tax return while on assignment with a Kimco client.
Customer agrees that no insurance is afforded by Kimco for physical loss or damage to Customer's machinery, equipment, material, or any motorized vehicle (whether licensed for road use or not) in the care, custody, or control of Kimco, its agents, or employees, and that Kimco shall not be liable for physical loss or damage to said property or loss of said property caused by Kimco, its agents, or employees. Also, Customer accepts full responsibility for claims involving bodily injury (excluding injury to Kimco employees), property damage, fire, theft, collision, cargo damage, or public liability damage incurred as a result of a Kimco employee operating or driving any such machinery, equipment, or vehicles.
Customer agrees to immediately notify Kimco management of any claims of discrimination or sexual harassment involving Kimco employees, and agrees to work closely with Kimco to resolve any issues arising from such complaints. Customer certifies that its own employees have been given training regarding the prohibition of sexual harassment and discrimination in the workplace.
Customer will not entrust Kimco employees with the care, custody, or control of premises, cash, negotiables, valuables, or other similar property without prior written permission from Kimco on each occasion. It is understood and agreed that claims made under the Commercial Blanket Bond must be reported in writing to Kimco within fourteen (14) days of the occurrence, or Kimco shall not be responsible for such claims. In the event of any theft, error or omission resulting in negligence, Customer agrees to prosecute and file all necessary actions. Only in the event of conviction will the bond respond with payment of the loss.
Customer understands that the personnel supplied by Kimco results from substantial expense incurred for advertising, screening, testing, and training of said personnel. Therefore, in consideration of this service, Customer agrees that if employee named on reverse side of this sheet is employed by Customer, their associates or affiliates, or by an employee leasing company or other staffing company through whom the customer obtains personnel, during a Kimco assignment or within six (6) months after the temporary assignment ends, Customer agrees to pay Kimco an amount equal to 35 percent of the employee's estimated annual compensation.
Kimco invoices Customers weekly on the basis of hours worked, multiplied by the hourly service rate. Customer understands that temporary employees must be paid overtime in accordance with Customer's applicable wage order. Therefore, payment of overtime wages will be at Customer's discretion, and any claims arising from improper payment of overtime shall be the responsibility of the Customer.
Should legal recourse be taken by Kimco to enforce this agreement or any part herein, Customer agrees to and accepts liability for all attorney fees and court costs.
